REGISTRATION DESK HOURS

The AAAR Registration Desk will be on the main level of the Convention Center outside of the Exhibit Hall. Registration will be open:

*Your name badge will serve as your entry pass to all meeting spaces at the conference, so please wear it every day and keep it secure.*

INFORMATION FOR SPEAKERS

The Speaker Ready Room is located in Room 215 on the plaza level in the Conference Building of the Pasadena Convention Center.

All Oral Platform Speakers need to visit the Speaker Ready Room the day prior to their presentation to upload their talk.

Presenting at the conference? You may upload your presentation in advance using the link below. Please refer to the conference program for your scheduled presentation date and room before submitting your slides. You may also wait to upload your presentation onsite at the speaker ready room.

• All presentations must be labeled in the following format: Session Code.Presentation Number_Presenter's Last Name (ex: 1AC.1_Smith)
• Presenters must know their assigned room and time of their session in order to correctly save their presentation in the correct order. All presentations will be stored in the following format: Day/Room/Time/Presentation.
• Bring two copies of your presentation and provide your presentation on a USB Thumb Drive. Please carry it with you at all times in case of storage or media failure.

POSTERS & EXHIBITORS

Posters and Exhibit Booths will be located in the Exhibit Hall AB. Exhibitor move-in will take place Monday, October 26th from 11:00 AM - 5:00 PM. Poster presenters can set up on Monday, October 26th from 2:00 PM – 5:00 PM. This year there will be several boards available for general use in the exhibit hall near the ‘Meet the Job Seeker’ posters for announcements (e.g. job listings and event flyers).

ATTIRE: Business casual attire is encouraged for all meetings and events.

MEETING HEALTH POLICY:

The AAAR Board of Directors has approved the following health policy for the 44th Annual Conference:

Masks

• The use of masks is strongly encouraged in all indoor public settings.

Vaccinations

• Vaccinations against COVID, RSV, and influenza are strongly encouraged. However, we are not requiring proof of vaccination for attendance at the conference.

Other Considerations

• Please take a rapid COVID test before arriving at the conference. If it is positive, stay home. You do not need to show us your test result.
• If you do not feel well or show any symptoms of COVID-19 during the conference, please wear a mask, test as soon as possible, and consider isolating until you are clear on your COVID status.

AT THE MEETING

Coffee and drinks will be provided in the exhibit hall during set coffee breaks Tuesday through Friday mornings and Tuesday through Thursday afternoons. Tutorial attendees will be provided with a box lunch on Monday, October 26 during the lunch break in the Hotel Dena restaurant, Justine's. A cheesecake bar will be set in the exhibit hall on Thursday, October 29 in the afternoon. There are coffee shops and restaurants located in downtown Pasadena within close walking distance of the convention center. Please view a list of restaurants within walking distance here.

Tuesday – Coffee breaks & Pre-Reception Sponsored Event (5:30 PM - 6:30 PM) & Welcome Reception (6:30 PM – 8:30 PM)

Wednesday – Coffee Breaks & AAAR Musical Bingo Bash & Food (7:00 PM – 10:00 PM)

Thursday – Coffee Breaks & Cheesecake Bar (11:30 AM – 1:00 PM)         

Friday – Morning Coffee Break
