Instructions for securing exhibitor or sponsorship opportunities are included in the catalog.

What is included in an exhibitor booth?

A standard exhibitor booth includes:

  • One exhibit space
  • Choice of one 8’ or 6’ table with two chairs
  • Space for floor display banners
  • Complimentary electricity
  • Up to four exhibitor representatives per booth
  • Access to scheduled Expo Hall hours and networking events, including the Expo Hall opening and networking receptions
  • Meals and refreshments for exhibitor staff, including Tuesday evening event refreshments and Wednesday breakfast, lunch, and evening event refreshments

LeadCapture will be available for purchase, allowing exhibitors to easily collect and manage attendee contact information through the conference platform.

What hotel and venue logistics should exhibitors be aware of?

The 2026 PACHC Annual Conference Expo will take place at the Lancaster County Convention Center, which is connected to the Lancaster Marriott at Penn Square. Exhibitors must use designated loading dock access, follow scheduled load‑in and load‑out times, and comply with venue policies related to freight handling, utilities, food and beverage, and safety. Parking is available in nearby public garages and on‑street locations operated by the Lancaster Parking Authority; parking in the loading area is prohibited. All utilities, material handling, and additional services must be ordered in advance through the Convention Center or its designated partners. Exhibitors are strongly encouraged to review the Exhibitor Packet in full for detailed instructions, maps, policies, deadlines, and required order forms.

What are the loading dock procedures for exhibitors?

The Lancaster County Convention Center provides a designated loading dock for exhibitor load‑in and load‑out, located at 65 S. Christian Street, Lancaster, PA 17603. Loading dock access is permitted only during scheduled load‑in and load‑out times as assigned by show management. Exhibitors must unload materials promptly, then move vehicles to an approved parking location before beginning booth setup. Vehicles may not remain in the loading dock area outside of active unloading or loading. Children under 16 are not permitted on the loading dock during load‑in or load‑out. Full loading dock rules, diagrams, vehicle limitations, and step‑by‑step arrival and departure procedures are included in the Exhibitor Packet (see Pages 2–6).

How should exhibitors ship materials or send advance freight?

The Lancaster County Convention Center does not offer storage for exhibitor materials. All inbound and outbound packages, freight shipments, and material handling must be coordinated in advance through the official drayage provider, General Exposition Services (GES). Material handling fees apply and vary based on shipment size and service needs. Exhibitors will receive GES access information prior to the event, including instructions for arranging advance shipping, on‑site delivery, and outbound freight services. Detailed shipping requirements and contact information are outlined in the Exhibitor Shipping Instructions Letter.

How do exhibitors order additional services using EventNow?

Exhibitors may order audio‑visual services, internet, and related technology services through EventNow, Encore Global’s online ordering platform and the Convention Center’s exclusive AV provider. EventNow access details and Encore contact information is included in the Exhibitor Packet. Standard exhibitor booths include electricity at no additional cost, and exhibitors do not need to place an order for basic power. Orders placed after deadlines or onsite may be subject to late fees and availability limitations. Additional ordering details and vendor contact information are provided in the Exhibitor Packet (see Pages 10–13).

Is electricity included with exhibitor booths?

Yes. All standard exhibitor booths include electricity provided by PACHC as part of the booth package. Exhibitors do not need to order standard electrical service. Only specialized electrical needs (such as higher voltage or special hookups) must be requested separately in advance. Electrical service details and ordering forms are included in the Exhibitor Packet for reference (see Page 10).

What sponsorship opportunities are available?

A variety of sponsorship opportunities are available to meet different organizational goals and budgets. Options include event and session sponsorships (such as the Keynote, Reception, and Main Stage), branding and advertising placements, digital and mobile app sponsorships, sponsored meals or networking events, and other high‑visibility experiences. Each sponsorship level offers unique benefits and recognition opportunities.

What benefits are included with conference sponsorships?

All sponsorships are designed to maximize visibility before, during, and after the conference. Benefits may include logo recognition, complimentary or discounted conference registrations, discounted or complimentary exhibit booth space, recognition in conference materials and the conference app, social media and newsletter acknowledgment, and access to the conference app and LeadCapture to connect with attendees. Benefits vary by sponsorship level and are detailed in the Exhibitor & Sponsorship Catalog.

What are the logo requirements for the Cvent Exhibitor Portal and Virtual Booths?

Logos must be uploaded as a square image (1:1 aspect ratio) with a minimum size of 300 × 300 pixels. Accepted file formats include JPEG, JPG, PNG, or GIF. If your logo is rectangular, place it on a 300 × 300 pixel square canvas with a white or transparent background and center it to prevent cropping by the system.
