All guests accompanying registered attendees to the NASAO Convention & Trade Show must be registered to be allowed access to the exhibit hall, networking events, food and beverage functions, and guest program activities. NASAO is unable to offer per event pricing for guest passes.

CANCELLATION POLICY FOR THE 2026 NASAO ANNUAL CONVENTION & TRADE SHOW

Once registered, attendees can cancel their registration up until 60 days before the start date of the 2026 NASAO Annual Convention & Trade Show for a full refund. If cancellation occurs within 60 days of the 2026 NASAO Annual Convention & Trade Show start date, attendees will forfeit 50% of their registration fee. If cancellation occurs within 30 days of the 2026 NASAO Annual Convention & Trade Show start date, the registration is nonrefundable.

• Cancel by Tuesday, July 14, 2026 to be refunded 100% of the registration fee
• Cancel between July 15 and August 14, 2026 to be refunded 50% of the registration fee
• No refunds will be issued after August 14, 2026
• No shows will not be issued refunds

CANCELLATION PROCESS

• Cancellations must be received by the stated deadlines and will be accepted in writing only to NASAO.
• Please send written cancellations to events@nasao.org.
• Refund requests must be made by the registered attendee or credit card holder and include the name of the attendee and/or transaction number.
• Refunds will be issued via the original payment method used, no later than 30 days after cancellation has been approved.

SUBSTITUTION POLICY

Substitution of registration (same type: member/non-member) is permitted prior to August 14, 2026. Only one substitution is permitted per original registrant with written consent. The individual submitting the substitution request is responsible for all financial obligations associated with that substitution as well as updating any contact/demographic information. Please email substitution requests to events@nasao.org.

PAYMENT POLICY

All registration fees must be paid in full prior to Friday, August 28th, 2026. If payment is not received by NASAO by this date, payment will need to be collected onsite at the registration desk by credit card ONLY. Checks and cash payment will not be accepted. Name badges will not be issued to attendees until full payment is received.

IN THE CASE OF AN EVENT CANCELLATION BY NASAO

National Association of State Aviation Officials (NASAO) reserves the right to cancel an event due to low enrollment or other circumstances which would make the event non-viable. If NASAO cancels an event, registrants will be offered a full refund. Should circumstances arise that result in the postponement of an event, NASAO has the right to either issue a full refund or transfer registration to the same event at the new, future date. NASAO will not be responsible for reimbursement of any participant’s expenses related to the cancellation or postponement of an event.

By agreeing to present at the NASAO Convention, speakers acknowledge and agree to the following:

• All presentations are intended to provide educational and informational content to attendees. Presentations may not be used to advertise, market, promote, or solicit business for any product, service, company, or organization.
• Speakers consent to the recording of their participation in audio and video formats during the NASAO Convention. Speakers also consent to the distribution and public availability of presentation materials, including presentation slides (PDF format) and audio/video recordings of their presentation, following the event. Speakers who wish to opt out of the recording of their presentation or the distribution of presentation materials must submit a written request to events@nasao.org prior to the event. NASAO will make reasonable efforts to accommodate such requests; however, all requests are subject to review and approval by the NASAO Planning Committee.
• Acceptance of a speaking role and/or completion of speaker registration constitutes acknowledgment of and agreement to comply with this Speaker Presentation Policy.
