Registration Rates

The AHE Exchange26 (“Event”) is hosted by the American Hospital Association (AHA) and AHE and is held at August 16-19, 2026 in New Orleans, Louisiana at the Hyatt Regency New Orleans (“Venue”). In order to ensure a successful Event, each individual who becomes registered for the Event and/or otherwise participates in or has access to Event in any manner (each an “Event Participant”) must accept and comply with these Event Participant Terms and Conditions (“T&C”) as set forth below and as may be modified by AHA from time to time.

If you are the Event Participant, you agree to comply with the T&C and that your failure to do so may result in your immediate removal from the Event without refund and the implementation of additional disciplinary action imposed against you by AHA including, but not limited to, loss of your eligibility to participate in future AHA programs and events and your removal from AHA membership.

If you are not the Event Participant and have not been authorized to accept the T&C on their behalf, you may not complete the registration on behalf of the Event Participant. Please direct the Event Participant to complete the registration process.

If you are not the Event Participant but have been authorized by Event Participant to accept these T&C on their behalf, and can provide evidence of such authorization if requested by AHA and AHE, you attest that the Event Participant agrees to comply with the T&C and understands that their failure to do so may result in their immediate removal from the Event without refund and the implementation of additional disciplinary action imposed against them by AHA including, but not limited to, loss of their eligibility to participate in future AHA programs and events and removal from AHA membership. Please note that the Event Participant will receive a copy of the T&C in the confirmation of their registration for the Event.

These T&C constitute an agreement between AHA, AHE and Event Participant.

REGISTRATION

Event Participant may only register for and attend the Event in accordance with these T&C. To register for the Event, Event Participant must complete the Event registration process. Except as expressly permitted in the Registration Substitutions and Cancellations paragraph below, Event Participant’s registration is not transferable. Providing Event Participant’s registration to, or sharing Event Participant’s registration with, any other person(s) is a violation of the Code of Conduct (as outlined below) and may result in the termination of Event Participant’s access to the Event. Furthermore, any person to whom Event Participant’s registration is transferred to in violation of these T&C will be denied access to the Event.

REGISTRATION SUBSTITUTIONS AND CANCELLATIONS

If Event Participant registers for the Event but can no longer attend, Event Participant may send a substitute by emailing AHE@aha.org prior to August 7th, 2026 and verifying Event Participant’s substitute meets the eligibility requirements of the Event. If Event Participant must cancel entirely, Event Participant’s request for a refund – minus a 20% processing fee – must be made in writing to AHE@aha.org by no later than August 7th, 2026, 11:59 p.m. CT. Cancellations made after such deadline are not eligible for a refund. Please allow 6-8 weeks for all refunds to be completed. AHA will attempt to make refunds using the same method of payment (credit card or check) as the original transaction. Should AHA use a different method for refunds, it will inform Event Participants. AHA is not liable for non-refundable airline tickets or hotel room deposits. AHA suggests that Event Participant not purchase restricted or non-refundable tickets for travel to the Event. AHA assumes no liability for penalties or fare increases should the Event sell out or in the unlikely event that changes to the Event dates and location become necessary. Hotel reservations, cancellations and charges are the attendees’ responsibility. No refunds will be granted for no-shows. Event Participant is responsible for cancelling any hotel and any other travel arrangements if needed.

ELIGIBILITY REPRESENTATION

AHA has the sole right to determine whether an Event Participant meets the eligibility requirements for the Event. Should AHA determine that any individual does not meet such eligibility requirements, such individual will not be permitted to attend the Event and that AHA will not be liable for any damages related thereto including without limitation for travel-related reimbursements or in any other manner associated with the Event. Registration fees may be refunded, less previously identified processing fees.

SCHEDULING CHANGES

AHA reserves the right to reschedule or cancel an Event because of an insufficient number of registrations, speaker availability as well as the right to close registration when programs are full. AHA may cancel a program when circumstances are beyond its control — including, but not limited to, acts of nature, governmental authority or war in the United States which make it impractical or impossible to host the program or may put Event Participants in harm’s way.

HEALTH AND SAFETY

The AHA monitors local, state, and federal guidelines and determines safety protocols and requirements for the Event. If needed, additional details on safety protocols will be provided closer to the start date of the Event. As an attendee at the Event, Event Participant will be required to follow all guidelines and restrictions that have been put in place by us for the Event and/or by the CDC and the local jurisdiction. Some restrictions could include but are not limited to: wearing a face mask, social distancing, etc. Should Event Participant fail to observe any public safety protocols, AHA may remove Event Participant from the Event without a refund.

By attending the Event, Event Participant acknowledges and agrees the contagious nature of any communicable disease and voluntarily assume the risk that Event Participant may be exposed to or infected by any such communicable disease by attending the Event.

Photography, Audio and Video Recording

By attending this Event, Event Participant acknowledges and agrees that AHA has the right to use, reproduce, broadcast, rebroadcast or incorporate in any manner whatsoever, all or any portion of photographs and/or videos of Event Participant or Event Participant’s participation in the Event for use in marketing materials and/or training materials and for internal use (“Materials”). Event Participant irrevocably grants, transfers and assigns a nonexclusive, perpetual, worldwide, royalty-free right and license to AHA if any, in and to the Materials and all copyrights in the Materials arising in any jurisdiction throughout the world, including the right to register and sue to enforce such copyrights against infringers. Event Participant understand that the Materials may be substantially edited, altered, rearranged or modified. To the maximum extent permitted by law, Event Participant hereby waives any moral rights Event Participant may have in the Materials.

AHA may hire professional service providers (photo/video/streaming/audio) to document and display the Event experience. The AHA may also use social media to: post real-time photos and videos to its social media feeds; and display select submissions from those feeds on monitors throughout the Event venue.

Event Participants are encouraged to capture their event experiences and post their own social content from the Event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, speaker, sponsor, exhibitor, third party, or [AHA/PMG]. Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights. In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee. By attending the Event, Event Participant acknowledges and agrees as follows: AHA may edit and use footage it captures at the event for limited purposes of supporting this and future AHA conferences; and due to the prevalence of mobile recording devices in today’s world, AHA disclaims all liability for the capture of Event Participant’s image in any multimedia format by other attendees at the Event.

No individual or entity other than AHA may electronically record, copy (including live-streaming or recording from smartphones, iPads or other handheld devices) any portion of the Event for any use without prior written consent from the AHA.

Communications

Event Participant agrees to refrain from marketing products or services during the course of the Event. This may include, but is not limited to:

Digital – Event Participant will not post solicitous messaging, sales promotions, or unprofessional notations utilizing the virtual conference platform features. It is the sole discretion of AHA to remove messages that do not comply with our guidelines and/or remove Event Participant’s access entirely.
Email – Event Participant will not send solicitous messages to other conference participants. AHA prohibits companies from sending any solicitous advertising (emails, mail, other) falsely conveying that they are representing and/or endorsed by the Event, AHA, or [PMG] or are. AHA reserves the right to exclude any participant that violates these prohibitions.
Logo – AHA, AHE and Exchange26 logos may not be used without the express written permission of AHA and AHE.

Artificial Intelligence

Event Participant acknowledges that AHA may, at its sole discretion, use artificial intelligence tools (“AI Tools”) in connection with the Event. AI Tools are software or applications that record, transcribe, summarize, generate notes or provide analytics/engagement of an AHA Event. Examples of AI Tools include, but are not limited to, Zoom AI Companion, Microsoft Copilot, Shadow, Sembly AI, Tactiq, Otter.ai, and Fireflies.ai. At its discretion, AHA may share recordings or transcripts following an AHA Event.

Unless expressly authorized in writing, Event Participant is strictly prohibited from using AI Tools to record, transcribe, summarize, livestream, or broadcast any content, presentations, or activities (collectively referred to as “Event Content”) during or after the Event. Furthermore, unless written permission is granted by AHA, Event Participant may not share, publish, or distribute any Event Content generated by AI Tools in connection with the Event. AHA reserves the right to request corrections or revisions to any such Event Content.

EVENT CODE OF CONDUCT

Event Participants must treat all other Event Participants with respect and create a collegial, inclusive, and professional environment. Event Participants will value a diversity of views and opinions by communicating openly with respect for others. Event Participants shall not verbally abuse any individual. Event Participants shall not discriminate, harass, or intimidate on the basis of gender, race, gender identity and expression, sexual orientation, physical or mental disability, physical appearance, age, religion, national origin, veteran status, citizenship, or professional rank. Any Event Participant requested to stop unacceptable behavior is expected to comply immediately.

Expected Behavior

Be considerate of those around Event Participant.
Be respectful of others and viewpoints that may be different from those of Event Participant.
Be mindful of Event Participant’s words and actions.

Unacceptable Behavior

Event Participant shall not engage in or participate in unacceptable behavior. Whether an activity qualifies as unacceptable behavior is determined by AHA in its sole discretion. Unacceptable behavior includes, but is not limited to:

Offensive or unwanted behavior or language related to race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, physical or cognitive ability, veteran or marital status or any other protected categories under applicable law.
Visual harassment, such as sexual images or sexual language at the Event, including presentations and slide decks.
Intimidation or bullying, both online and/or in-person.
Transferring or sharing Event Participant’s Event registration with another person in violation of these T&C.
Making Event content available to any non-attendees and/or non-members including any AHA competitor.
Failure to follow any of the rules or regulations of the Event or instructions of the Event staff.
Engaging in sales or lead generation of any kind except as approved through Event or exhibit rules or with written permission from AHA.
Fielding or promoting surveys of any kind without written permission from AHA.
Promoting job openings for Event Participant’s employer without written permission from AHA.
Discussing a topic or topics involving any possible anticompetitive practice, including but not limited to:
Prices, rates, discounts, or other price-related information;
Salaries or other compensation information;
Nonpublic plans for expansion (new facilities, new services);
Specific customers or classes of customers, or whether Event Participant will or will not do business with them;
Allocation of geographic or service markets;
Any refusal to deal with a health plan, self-funded employer, or supplier;
How to deal with the market behavior of a competitor.
Any other improper or illegal activity not already covered above.

Reporting and Consequences of Unacceptable Behavior

If Event Participant is the subject of, or a witness to any violations of these T&C, Event Participant can contact AHA by sending an email to AHE@aha.org.
If deemed necessary by the AHA, Event staff are empowered to take appropriate actions that may include, but are not limited to, debarment from the Event without refund and/or involving venue security or local law enforcement. Unacceptable behavior will not be tolerated and can also result in debarment from any future AHA event.

VIEWS

Event Participant acknowledge that the views expressed by any Event attendee, speaker, exhibitor or sponsor are not necessarily those of the AHA. All Event attendees, speakers, exhibitors and sponsors are solely responsible for the content of any and all individual, group or organization presentations, marketing collateral, advertising and online content.
The AHA is not responsible for the opinions and information posted on the Event website by others. The AHA disclaims all warranties with regard to information posted on such site, whether posted by the AHA or any third party; this disclaimer includes all implied warranties of merchantability and fitness for a particular purpose. In no event shall the AHA be liable for any special, indirect, or consequential damages or lost profits or any other damages whatsoever arising out of or in connection with the use or performance of any information posted on the Event website.

STATEMENT OF LIMITED LIABILITY

Except where prohibited by applicable law, AHA does not bear any legal liability or responsibility for Event Participant’s safety or the safety of any other attendee participating in this Event. AHA disclaims any liability for the acts of any outside entities related to this Event and reserves the right to cancel, reschedule and/or modify the format of the Event without liability. Event Participant shall be personally responsible for his/her behavior. AHA does not accept responsibility for and shall not be liable for the behavior of any attendee or outside entity during the Event.

AHA shall not be liable for any delays or failure in performance or interruption of services (including those relating to cancellation, rescheduling, or modifications to the Event) resulting directly or indirectly from any cause or circumstance beyond the reasonable control of AHA including but not limited to, acts of God, war, terrorism, other forms of civil strife, failure of transportation, weather, accidents, fires, electrical failures, strikes, labor disputes, postal delays, explosions, and government orders or regulations.

AHA reserves the right to substitute an equally qualified speaker or presenter in case of an emergency or cancellation. AHA makes no promises and has no duty with respect to presenters, exhibitors or sponsors, and makes no endorsements of any presentation or product. These T&C may be revised at any time by AHA and are non-negotiable. By registering to attend this Event, Event Participant acknowledges and accepts these T&C. Except where prohibited by applicable law, AHA disclaims any and all direct, special, consequential, incidental, punitive or other indirect damages of any kind whether alleged as a breach of contract or tortious conduct, including negligence, or based on any other cause of action. The laws of the State of Illinois without giving effect to its conflict of law provisions, govern these T&C and any dispute of any sort that might arise between the parties. Any dispute must be litigated in the state or federal courts located in Cook County, Illinois and Event Participant hereby consents to such exclusive jurisdiction.

Technology Use
As a courtesy to Event Participants, AHA requests that all electronic devices be silenced during sessions and other programming. Event Participants needing to use their device for something other than session participation should step outside the meeting room in order to avoid disturbing other Event Participants.

Allergens and Food Safety
The serving and consumption of food and beverage during the Event is an essential component. As allergens may be present in any food and beverage, Event Participants are responsible to manage any food allergies during the Event by noting any meal restrictions during the registration process and monitoring onsite with catering staff. If you have a food allergy or dietary restriction, please note this during Conference registration or email AHE@aha.org.

Americans with Disabilities Act
The Event is accessible to all participants. Any Event Participant who has questions or requires special accommodations or auxiliary aids related to a disability in order to participate in the Event should contact AHA at AHE@aha.org and provide information regarding their needs and request for accommodation.

Dress Code
The dress code at the Event is business casual.

POLICIES

By visiting AHA websites, including any registration or website hosting the Event, Event Participant accepts the practices described in the AHA Privacy Policy, Terms of Use and Antitrust Policy. These guidelines may change at any time. Event Participant review these guidelines and policies periodically to ensure familiarity with the most current version.

Warning: Unauthorized Solicitations for Hotel Room Reservations

Event Participants are hereby warned that they may receive unauthorized solicitations for hotel room reservations related to the Event. These solicitations may come from third parties who are not affiliated with or authorized by AHA.

To ensure the legitimacy and security of hotel reservations for the Event, Event Participants are strongly advised to reserve their hotel accommodations through the official Event website or authorized partners. AHA does not endorse or take responsibility for reservations made through unauthorized sources. If you receive any unauthorized solicitations for hotel room reservations, please report them immediately to AHA or security personnel. Reports can also be made via email to INSERT.  Please note that engaging with unauthorized solicitors may result in fraudulent transactions, loss of money, or invalid reservations. AHA shall not be liable for any issues arising from reservations made through unauthorized sources.
