Event Details - 2026 FLARE Annual Meeting

Registration for the 12th FLARE Annual Meeting, October 21-24 in Bilbao, Spain is complete only when full payment of the registration fee is received. Participation fees are owed upon registration and are payable within 7 days following submission of the registration (but not later than 7 days before the starting day of the event).

To benefit from the reduced fees for early registrations, you need to complete your registration and pay the registration fee before July 14, 2026. If a payment is not processed before July 14, 2026, your registration will be processed at the Regular registration rate.

The registration deadline for presenters is September 25th, 2026 and the deadline for observers is October 23rd, 2025.

The 2026 FLARE Annual Meeting takes place on Wednesday, October 21, Thursday, October 22, Friday, October 23, and Saturday, October 24, 2026. The opening reception on Wednesday, October 21 is optional. The meeting program for the three main days, including preliminary allocation of papers into panel sessions, is subject to change up until October 21st.

The Meeting Organizers are entitled to postpone or cancel the on-site attendance of the meeting in case of force majeure. Force majeure would refer to any circumstance independent of the will of the Meeting Organizers, even if it was already foreseeable at the time of registration by the participant at the conference – which requires the Meeting Organizers to postpone or cancel the conference, such as but not exclusively, the consequences of the outbreak of COVID-19. In case of the event’s cancellation, participants are entitled to a refund of the registration fee payment with a deduction of 25% for administrative costs. The Meeting organizers are not further liable for other costs incurred by the participants such as hotel, travel costs, etc. In case of postponement of the Meeting, registrations remain valid.

If registered participants wish to cancel their registration before October 6, 2026 at 11:59 pm EST, the Conference organizers will repay the registration fee with a deduction of 25% for administrative costs. Starting October 7th, 2026, the registration fee is non-refundable.
