Exhibit booth cancellation requests must be made in writing to exhibits@publicgardens.org. Cancelling a booth purchase will automatically cancel conference registration for any associated booth workers. Cancellations requested on or before 3/1/2026 will receive a 90% refund. Cancellations requested between 3/1/2026 and 5/1/2026 will receive a 50% refund. There will be no refunds for booth cancellations or associated worker registrations after 5/1/2026.
Shipping & Material Handling
Due to union rules, all exhibit materials must be handled by Curtin Convention & Expo Services. This includes pre-show shipping to Curtin's warehouse, direct-to-hotel delivery (shipping to hotel, personal vehicle, etc.), and onsite booth set up. Union rules mandate that Curtain transport all materials that cannot be hand carried into the hall, and complete all booth set up that requires tools of any kind. Please contact exhibits@publicgardens.org for more information.
Freight Elevator
The internal dimensions of the service elevator are 65 in. wide x 125 in. deep and 120 in high. Elevator door dimensions are 8 ft x approximately 4.5 ft. If you anticipate that your exhibit materials will not fit in the service elevator, email exhibits@publicgardens.org.
Giveaways
Due to hotel union rules, exhibitors cannot bring any outside food or beverage, including giveaways (candy, water bottles, etc.) into the event space.
Security
The American Public Gardens Association and Hilton San Francisco Union Square will not assume any responsibility for the damage or loss of any merchandise or items brought into the hotel. Security can be arranged through our preferred contract security company at their current prevailing rates.
Attendee List Email Scam
Unfortunately, emails offering to sell Attendee Lists from our Annual Conference are often sent by scammers impersonating Association staff or a third-party vendor working on our behalf. If you receive emails that propose to sell the 2026 Conference Attendee Lists, do not engage with the sender and delete the email. The Association does not rent or sell email lists to third parties.
Hotel Booking Scam
Conferences, including ours, can also be the target of hotel scams. Scammers call or email attendees and exhibitors, claiming to represent the Association and encourage customers to book rooms using fake promotion codes at a variety of hotels close to the conference venue(s). The Association and our established host hotel will never send emails or place phone calls to individuals in order to promote specific accommodations. Any and all legitimate messages to attendees will direct them to the Conference’s hotel information page, where attendees will find secure links to our approved hotel(s).
