Come to Seaside and relax and revitalize in the fresh ocean air from the blue Pacific. Take in the stunning coastal vistas that are the pride of the Pacific Northwest. Just 90 minutes from downtown Portland, Seaside is the beautiful beach escape perfectly paired with conference!

The ORPA Annual Conference will take place at the Seaside Civic and Convention Center. Walk in and be welcomed ORPA staff and volunteers at our registration desk, situated in a modern and newly renovated foyer. The first floor boasts a large two-story ballroom, our exhibit hall, and space for meals. On the second floor, enjoy brightly lit breakout rooms, fitness sessions, a volunteer lounge, and open work space.

This venue does not include an attached hotel, but is within a short walk to half a dozen hotel and lodging options in downtown Seaside!

LODGING INFORMATION

In past years, our conference hotel blocks have appeared to sell out early. However, we later learned that large group holds were placed and then reduced or canceled closer to the event. During that time, other attendees were unable to access rooms within the official block and were forced to book at alternative hotels or at higher rates.

This year, we worked closely with our hotel partners to structure reservation timelines that better protect access for all attendees. Our shared goal is simple: ensure that rooms remain available to those who are actively registered and planning to attend.

RESERVATION & PAYMENT TIMELINES

As part of our negotiated agreements with each hotel:

  • Hotels will require a deposit or full prepayment at the time of reservation, or 30-60 days prior to arrival (timelines vary by property).
  • Reservations that are not secured according to the hotel's payment schedule may be automatically released.
  • Rooms not paid for prior to the hotel's deadline may return to general inventory before the conference.

We encourage agencies to confirm attendee numbers before booking multiple rooms and to reserve only the rooms that are reasonably expected to be used.

ROOM BLOCK MONITORING

To ensure the integrity of the official conference block:

  • ORPA will periodically compare hotel room lists with the conference registration list.
  • Reservations under names not registered for the conference may be contacted. Likewise, large blocks under one name may be removed. Please provide the name of each individual when booking rooms.
  • Rooms held without a corresponding conference registration may be released back into the block.

This step helps ensure discounted rooms remain available for confirmed attendees and that inventory is not unintentionally restricted.

ACCESS TO OFFICIAL ROOM BLOCKS & BOOKING LINKS

To protected negotiated rates and maintain equitable access:

  • The official hotel list and booking codes will not be publicly posted on the website.
  • Attendees and Exhibitors must register for the conference before receiving lodging details.
  • Hotel information will be emailed directly to registered conference attendees.

This approach helps us preserve room availability, maintain negotiated rates (including per diem options) and ensure fair access for all participants.

ACCESSIBILITY

ORPA complies with the Americans with Disabilities Act and makes all reasonable arrangements to ensure comfortable and accessible events for all. We recognize not all disabilities require accommodations, and some are invisible. While we do not require attendees to disclose their needs, you may complete the accessibility questions during the registration process or contact us at support@orpa.org for individualized support.

ONSITE SERVICES AND EXPECTATIONS

Event Spaces: All rooms occupied by ORPA in the conference venue are accessible in accordance with the ADA. ORPA works with the convention services team to plan the conference and design spaces in ways that accommodate all attendees. All rooms at the conference are wheelchair accessible, though some may require a ramp or lift for access. ORPA requests space for wheelchair/scooter users in the front and back of all meeting rooms. We also request that room layouts accommodate appropriate aisles to allow a wheelchair/scooter user to navigate the space. If you feel a room is not set to these standards, email support@orpa.org.

Presenter Setup: Standard setup for presenters includes a head table and podium which may be on a stage. If you are presenting and require a tabletop or wireless microphone, a stool for height assistance, or cannot utilize stairs to a stage, please notify ORPA in writing at least three weeks in advance of the conference.

Nursing Lounge: A dedicated lactation pod is located on the second floor and is available upon request. This space includes comfortable seating and outlets, suitable for mothers who are pumping or breastfeeding.

Service Animals: All service animals are welcome in all spaces at the annual meeting. Service animals are expected to behave in accordance with their service and ORPA staff reserve the right to request the removal of any animal who is exhibiting harmful or unintended behavior in accordance to the ADA. Attendees are reminded that service animals are working animals and one should not distract or attempt to pet them.

Hearing and Communication Support: Arrangements for American Sigh Language interpreters or amplification devices are available. In order to ensure communication support services are available, we require requests in advance. Please contact ORPA directly by August 15th, 2026 at support@orpa.org.

Personal Aide: Should you require an aide or assistance to help navigate the meeting, please contact ORPA to register your personal aide as a complimentary guest. Name, city, and state are required for the badge. Personal aides may attend sessions and access the exhibit hall but are not able to earn CEUs.

Transportation and Field Session Support: For attendees who require additional mobility equipment, such as a wheelchair or scooter, please notify ORPA as soon as possible if you're planning to attend a field session. Field session venues vary in accessibility and a direct conversation can help us understand what accommodations might need to be made.
