EXHIBIT DATES AND HOURS

The ORPA Conference will be held on September 22-24, 2026 in Seaside, OR at the Seaside Civic and Convention Center. The exhibit hall will be open on Tuesday & Wednesday, September 22-23, 2026.

Large exhibits are encouraged to begin tear down during this time.

6:00 AM - 9:00 AM; 12:30 PM - 3:00 PM

Exhibitors are prevented from moving during educational sessions.

EXHIBITOR MOVE-IN INFORMATION

When an exhibitor arrives:

  • In the morning, please stop by the East side of the Nacanicum Room to pick up your exhibitor packet. Your packet will include your name badges, drink tickets, and conference information.
  • In the afternoon, exhibitor packets will be available at the registration desk.

Entrances:

  • Primary entrance: NE side of the Nacanicum Room. This entrance features an 11' × 11' accordion-style door and should be used whenever possible.
  • Secondary entrance: SW side of the Pacific Room. This entrance is narrower and accessed by a standard wheelchair-accessible ramp.

To assist with move-in, the venue will have one pallet jack and six hand carts available. When not in use, please return to the lobby.

Quiet Time: 3:00–5:00 PM

A sound check will take place in the exhibitor hall from 3:00–5:00 PM.

During this time, we ask exhibitors to:

  • Use low voices
  • Avoid creating loud noises while moving or setting up materials

EXPO VENDOR SUPPORT

This year, ORPA will NOT be utilizing a third-party expo support provider. As such, exhibitors are expected to: 

  • Manage the shipping and handling of their own supplies. ORPA will not handle any shipping of materials or notifying the Seaside Civic & Convention Center 
  • If shipping items, especially freight, cannot arrive more than 24-hours in advance. The Convention Center MUST be notified of incoming materials in advance.
  • Once the Seaside Civic & Convention Center is notified, materials can be shipped to:

  • Arrange all necessary furnishings. ORPA is not responsible for additional seating, chairs, tables, carpet, or other materials to decorate booths.  
  • Arrive early/on-time for set up, as access to the loading dock may be busy. Exhibitors are responsible for ensuring their booth is set up during the specified setup time.

EXHIBITOR BOOTH INFORMATION

The exhibitor hall is divided between the Nacanicum Room and the Pacific Room.

  • Booths in the Nacanicum Room are on carpet.
  • Booths in the Pacific Room are on hard floor (no carpet).

For exhibitors bringing larger items, pipe and drape will be installed and booths will be fully set up by 8:00 AM. Full sets include: 

  • One 8' table
  • Skirt and tablecloth
  • Two chairs per 10x10 
  • Every booth includes a power drop

POLICIES

CANCELLATION POLICY

Cancellations and requests for refunds must be submitted to ORPA in writing.

  • 100% of exhibit fees, minus a 5% processing fee and  $125 administrative charge, may be refunded for cancellation notifications and refund requests made prior to 5:00 PM PDT July 31, 2026.
  • 50% of exhibit fees, minus a 5% processing fee and $125 administrative charge, may be refunded for cancellation notifications and refund requests made between July 31 - August 24, 2026.
  • No refunds will be issued for cancellation requests after 5:00 PM PDT August 24, 2026.
