POLICIES: REGISTRATION, CANCELLATION, BROADCAST AND AMENDMENT
Payment & Registration
- Conference registration fees must be paid in full 14 days before the first day of the conference.
- Registrations with outstanding balances (registration fees or membership dues) as of the app release date will not receive access to the conference app and may be cancelled at the discretion of event management to accommodate delegates on the waitlist.
- In-person registration is limited by venue capacity. If spaces fill, a waitlist will be created, with priority given to STEP members and students.
- Should the conference sellout, a waitlist will be started
- Individuals wanting to attend should join the waitlist as early as possible to increase their chances
- In-person spots can become available if cancellations are received
- Members in good standing will be given first opportunity to register if spots become available
- Each registration is individual and non-transferable, granting one person in-person attendance, access to the conference app, on-demand replays, and all presentation materials. Shared or split registrations are not permitted.
Liability
- All delegates must agree to the STEP Canada Annual General Release of Liability, which covers all STEP Canada events between July 1, 2025, and June 30, 2026.
Substitutions & Transfers
- If a registrant is unable to attend in-person, their attendance may be substituted by another individual from the same organization. Additional fees may apply depending on membership status.
- Substitution requests must be submitted to memberservices@step.ca by Friday, May 22, 2026. Substitutions after this date will incur a $100 administrative fee (plus $13 HST).
- Registrants who wish to transfer their in-person attendance to online on-demand access may request this by Friday, May 22, 2026 to receive a refund of the difference. Requests received after this date will incur a $100 administrative fee (plus $13 HST).
Cancellations & Refunds
- Written notice of cancellation must be submitted to memberservices@step.ca by 12:00 pm EST on Friday, May 22, 2026. Cancellations received by this deadline will be refunded, less a $100 administrative fee (plus $13 HST).
- Cancellations received after this deadline are not eligible for a refund. Individuals who do not cancel will still receive conference materials and access to on-demand sessions via the conference app.
- Delegates who purchased a social event ticket but are later invited as a guest by a sponsor may cancel their ticket and receive a refund if Member Services is notified prior to Friday, May 22, 2026. Refunds will not be issued after this deadline.
Conference Materials & Access
- Paid in-person delegates will receive access to the STEP Canada 28th National Conference Attendee Hub/Event App during the week of May 25, 2026.
- All delegate types will receive access to the online, on-demand replays starting Monday, June 8, 2026.
- No part of the presentation materials may be reproduced in any form without prior written permission from STEP Canada.
- Recording of any session, in any format, is strictly prohibited.
Program & Speaker Changes
- STEP reserves the right to modify program content and/or speaker line-up as required.
Conduct & Compliance
- STEP reserves the right to refuse access to the conference if these terms are not met.
- By attending the event, delegates consent to being photographed, and images may be used in online photo books and promotional materials.
