Join the RTC community on October 15-17 at the Westin Downtown hotel in Washington, D.C. for our sixth annual RTC Summit! This year’s event will feature dynamic discussions on thermal technology innovations, financing strategies, and buyer perspectives across geographies and sectors. We’ve crafted the program to ensure ample time for networking and peer-to-peer engagements during two receptions, a group dinner, and other activities scheduled throughout the two-day event.

RTC Summit Attendee Terms & Conditions

These Terms & Conditions apply to everyone who attends the Renewable Thermal Collaborative (RTC) Summit (“Attendees”); registrants, event sponsors, speakers, guests, and all other attendees.

Attendance Requirements
Each Attendee agrees to:

  • Maintain a respectful, considerate, and courteous attitude towards everyone you engage with online, at the Summit, and the venue;
  • Provide clear, valuable, honest information.

Registration Fees and Information Supplied: When registering for the Summit, Attendee must provide the RTC with accurate and complete registration details. It is the Attendee’s responsibility to inform us of any changes to that information (including, without limitation, email address) by updating details on the relevant section of the applicable website or contacting us using the contact information provided in the Attendee Event Confirmation email.

It is Attendee’s responsibility to inform us of any special access requirements or dietary requirements at the time of registration, and in any event no later than three weeks in advance of the Summit. Any dietary requests made less than three weeks before the Summit may not be available.

After an Attendee’s registration is completed, the RTC reserves the right to review the information provided and adjust the registration type and fee if it is found that the information provided by the Attendee is incorrect. Any adjustment to fees will be charged directly to the payment method on file.

Admittance: In its sole discretion and without refund, the RTC reserves the right to refuse admittance to or expel from the conference anyone that it determines is behaving in a manner that could be disruptive to the conference or any other Attendee. Attendee consents and agrees that in such event, it shall not be entitled to a refund of any portion of amounts paid.

Payments: All bookings made prior to the conference must be paid in full to guarantee registration. Once payment has been received, an email confirmation will be sent. Payment must be received and processed by the event date or registration will be cancelled.

Prevailing Rate: To qualify for the prevailing rate, booking and payment must be received before the deadline listed online.

Refund Policy: If the RTC receives a written refund request at least one month prior to the Summit, the RTC will issue a refund minus a 25% cancellation fee based on the prevailing registration cost at the time of cancellation. Refunds will not be available for requests received less than one month prior to the Summit.

Conflicting Events: The RTC restricts companies from hosting or participating in competing or conflicting events or activities that occur during official Summit hours.

Registration Transfer: A registration may be transferred to another individual, provided that this individual is not already registered, and the individual qualifies for the type of registration being transferred. Substitution requests should be sent three weeks prior to the event to ensure all materials can be successfully transferred.

Speakers: Views expressed by speakers are their own. The RTC shall have no liability for advice given, or views expressed, by any speaker at the conference or in any material provided to Attendees. The RTC may use the speaker’s name and presentation materials for promoting attendance at the conference.

Data Protection: By submitting registration details, Attendees agree to allow the RTC and select organizations, such as Summit Sponsors, to contact them regarding their services. Attendees who do not wish to receive such communications should inform the RTC immediately after they register by emailing Alyssa Kagel.

Attendees understand that their name, title, and organization will be visible to other Attendees when they sign up for the event app and/or website, and other Attendees may contact them through the app/website. The app/website will not share email addresses. Attendees who do not want their information to appear publicly must update their online settings per the website instructions.

Insurance: It is the responsibility of the Attendee to arrange appropriate insurance they may desire in connection with their attendance at the conference. The RTC shall not be liable for any loss, liability or damage to personal property.

Photographs and Other Materials: By registering for and participating in this event, the Attendee understands that the RTC or affiliated organizations may photograph the Attendee during the event and put the finished pictures, portraits, or photographs to any legitimate use without limitation or reservation.

Modification of the Summit Agenda: The RTC reserves the right to modify the Summit Agenda, which is published as an indication only.

Hotel Accommodations: Hotel accommodations are subject to availability and on a first-come, first-served basis.

Cancellation: We may in exceptional circumstances need to cancel or postpone the Summit, in which case we will notify Attendees as soon as reasonably practicable. In the event of such cancellation, we will issue Attendees a full refund of their event registration cost. In the event of postponement, we will offer Attendees the option to re-register for the rescheduled Summit. Our liability as a result of any cancellation or postponement will be limited to the amount of fees the Attendee paid for the Summit only and we will not be liable for any additional losses incurred as a result of such cancellation or postponement. The RTC accepts no liability and shall pay no compensation where the performance of its obligations is made impracticable, illegal, or impossible by, or as a result of, Force Majeure (see below).

Force Majeure: The RTC shall not be held responsible or liable for any delay or failure in performance of its obligations hereunder to the extent such delay or failure is caused by circumstances which are beyond our reasonable control, and which are reasonably likely to affect the successful delivery of the Summit or would make it inadvisable, impracticable, illegal, or impossible for us to host the Summit or perform our obligations under these Terms.

Virtual Event: The Attendee is responsible for any technical requirements needed to access the Virtual Event platform, website or app made available by the RTC. The RTC reserves the right to edit or remove any public post inside a Virtual Event platform.

Changes: The RTC reserves the right to modify or amend these terms and conditions at any time, which changes shall take effect upon notification of Attendee via any medium of communication available.

Entire Agreement: This Agreement constitutes the final, complete, and exclusive statement of the terms of the Agreement between the RTC and the Attendee and supersedes all prior and contemporaneous understandings or agreements. All waivers of any provision of this Agreement must be made in writing. If any portion of this Agreement will be determined to be invalid, then that portion will be considered severed from the Agreement in that jurisdiction and all remaining portions will remain in full force and effect. Paragraph headings have been inserted for convenience of reference only, and are in no way intended to describe, interpret, define, or limit the scope or intent of any part of this Agreement.
